Q-Book Tables

Help

Short answers for getting started with Q-Book Tables.

Book a table

Reserve first, then claim a free Q-Book Tables account (no venue Q-Book login).

  1. Open Find a table and search for a venue.
  2. Find a table — party, date, preferred time — then pick a nearby time chip.
  3. Add your details with email (we may hold the table for a few minutes). Choose an experience if offered.
  4. Optionally select extras; accept venue terms if shown.
  5. Press Complete booking. Pay any deposit if Stripe Connect is ready.
  6. On confirmation, claim your free account to manage bookings and unlock member deposits.

Tip: Members get a platform deposit discount. If your preferred time is full, nearby slots and Notify Me appear.

My Bookings & account (guest)

Magic-link sign-in for reservations and your platform member profile.

  1. Open My Bookings or claim from a confirmation email link.
  2. Enter your email and request a sign-in link (no password).
  3. Open the link, then review Upcoming and Past lists; cancel an upcoming booking if needed.
  4. If you are not a member yet, use the Become a free member banner or join from My account.
  5. On a booking: Request bill when ready, wait for the venue to release it, then Pay bill if online payment is allowed.
  6. Open My account for membership, profile, and sign-out.

Tip: Install the diner PWA and enable notifications for confirmations and 24h reminders.

Venue sign in

Staff manage bookings with a Q-Book account. Login shows a restaurant-focused hero beside the form.

  1. Open Venue sign in.
  2. Enter your Q-Book username and password.
  3. Press Sign in to open the venue dashboard (icon rail + overlay flyout for section pages).

Tip: New accounts are managed in Q-Book, not in this app.

Install the booking widget

OpenTable-style find bar (party · date · time), nearby slots, Notify Me, sizes, and themes.

  1. Sign in to the venue area.
  2. Open Widget — Appearance and Embed snippet panels on the left, live preview on the right. Choose size/theme/presentation; preview updates as you edit; press Save widget settings.
  3. Copy the placement div to where the widget should appear, and the script to anywhere else on the page (footer works well) — or press Copy full snippet for both.
  4. No developer handy? Press Send to developer to email both snippets with an install note.

Tip: Add data-qbook-tables-sticky="1" for a fixed BOOK A TABLE button. Find a table hands off to the diner book page (email links a platform account; confirmation has the claim / member deposit CTA).

FOH, covers & guestbook

Run the service day and keep guest notes on the venue (Q-Book) side.

  1. Open FOH (Front of House) — live board: confirmed → seated → completed, or no-show / cancelled.
  2. Open Jobs to mark tables cleaned after a party finishes (feeds waitlist ETA).
  3. Open Covers for headcount planning (guests booked for a day/shift) and a printable summary.
  4. Open Guestbook for guest profiles from past bookings — notes, tags, VIP for next visit.

Tip: Guestbook rows are created automatically when diners book with an email.

Calendar & tables

  1. Open Calendar — each row is one table (name + seats); bookings and blocks sit on that table’s timeline.
  2. Expand Hours & slot rules for weekly hours, slot length, buffer, and max covers.
  3. Open Tables for physical inventory; use Floor plan to drag tables on a map and set Managed by.

Tip: Diners only see open slots that fit party size and capacity. Add/create actions live under the ⋯ menu on content pages.

Waitlist & special days

  1. Staff: open Waitlist (⋯ → Add) for parties waiting now or when full; diners can join from the venue page and see an estimated wait.
  2. Review ETA per party; use Recalculate ETAs after cleans. Press Table ready to notify (push + optional email).
  3. Open Special days to close a date or override hours for holidays/events — not marketing ads or special experiences.
  4. Edit Templates for confirm / remind / table-ready / promo copy.

Venue promotions

Schedule push campaigns to diners who have booked with you.

  1. Sign in and open Promotions.
  2. Enter title, message, and send time; press Schedule promotion.
  3. Review campaigns as cards under Scheduled and Sent.
  4. Cron dispatches due promotions to opted-in push subscribers.

Payments, policies & extras

Deposits, no-show fees (up to 10%), venue terms, and booking extras.

  1. Sign in and open Payments (Stripe keys must be configured on the server).
  2. Press Connect with Stripe, then set deposit (flat and/or %) and optional no-show charge (max 10%).
  3. Open Policies to edit terms (text and/or PDF) and the extras catalogue (highchair, etc.).
  4. Diners must accept terms before confirm; marking a booking no-show records the fee on the bill (not auto-charged).
  5. On booking detail: build lines on Menu, release on Receipt, collect or mark paid on Payments.
  6. Platform members may pay a reduced deposit; no-show fee still uses the full (pre-discount) deposit base.

Tip: Reports use snapshot name/price on bookings — renaming extras later does not rewrite history.

Sign out

  1. Venue staff: use Sign out in the top navigation.
  2. Diners: sign out from My account or the nav when magic-linked.
